Description

Position’s Objective & Summary:

 

This role provides administrative and logistics coordination support to both our Professional Education and Commercial Learning teams to bring training events, program and meetings from concept through delivery. This role involves successful and close collaborations with a variety of stakeholders such as our Sales Force, Customer Care teams, Medical Research, Marketing, internal and external clients as well ask key vendors.

 

Roles & Responsibilities:

 

Support to Commercial Learning

 

To assist the Sr. Manager of Commercial Learning with the coordination and management of training events, programs, and meetings intended to Intuitive Sales Force. To scope logistics and set goals in partnership with our key internal and external partners, efficiently organize and execute on multiple deliverables.

  • Manage all program logistics such as registration, communications, program schedules, room set-up, resources for programs, printing, catering, transportation, app administrator, and coordinating programs and calendars.
  • Coordinate registration for trainees
  • Manage external field support
  • Execute tasks in program management tool
  • Coordinate systems, instruments and accessories
  • Manage communications for events/trainings
  • Support and track LMS assignments for the sales organization
  • Support and manage development of training program agendas
  • Interact with US counterparts to align different projects that are managed at regional levels.
  • Effectively manage budget administration (PR -PO-invoicing) for training events

Support to Professional Education and Program Services

  • Coordinate Customer training events including scheduling, truck system requests and execution, catering, logistical details, providing materials to attendees and tracking attendance
  • Remotely Support the Professional Education & Program Services department on administrative and training center requests
  • Prepare monthly reconciliation of Purchasing Orders; check training center invoices
  • Develop surveys and send out regular survey updates
  • Support the organization of internal and external training events when required, such as courses organized with surgical societies, advanced courses, first assistant courses. 
  • Manage historical training logs and requests for certificates; manage questions regarding equivalency certificates
  • Manage interdepartmental conference calls including requesting agenda items
  • Assist with coordination of internal European and World Wide Sales Meetings, as needed for customer training purposes
  • Presentation and training material development as directed by department managers
  • Review, edit and proofread agendas, presentations & facilitator/participant guides
  • Support document submission & approval process through our document control system
  • Occasionally participate in training events to better understand interactions and needs
Qualifications

Required Knowledge, Skills, and Experience:

 

  • 3+ years’ experience as coordinator supporting events and/or field based activities, in a high volume, fast-paced setting
  • Strong process orientation: must ensure all stakeholders understand processes and responsibilities related to each training event, program, and meeting
  • Ability to stay focused, efficient, and effective in managing multiple priorities
  • Detail-oriented, organized and takes initiative; problem-solving mindset
  • Strong English, French and German skills, ability to articulate and communicate (both written and verbal) in a way others can easily understand using different communication methods
  • Computer mastery; ability to edit and update Microsoft Office (exceptional skills in Word, Excel, PowerPoint, Publishing, and Adobe Acrobat)
  • Travel up to 25% may be required

Preferred Knowledge, Skills, and Experience:

 

  • Experience with customer-facing program coordination preferred
  • Experience in pharmaceutical, biotech or medical device environments preferred
