Position’s Objective & Summary:
This role provides administrative and logistical support for the organization of ME&E marketing events & tradeshows in coordination with local marketing and the EMEIA marketing events team. Additionally, this position will aid in developing new, localized marketing collaterals, referral management activities and will provide logistical support for demonstration equipment, reporting to the Senior Marketing Manager ME&E.
Roles & Responsibilities:
Marketing Events
Provides administrative and logistical support for the organization of local and ME&E events in coordination with the local and EU Marketing Events team:
  • Establish booth layout, organize booth set up and dismantling
  • Coordinate demo system delivery and pick up with transportation company when needed
  • Review Exhibitor manual and complete forms accordingly: carpet, furniture, electricity, AV, cleaning & other services
  • Get signatures of required forms from Director of Finance and coordinate with organization
  • Creation of new vendors, process Purchase Orders (POs) and invoicing, for these events
  • Monitor budget and financial follow up for events
  • Organize accommodation of the team when more than 6 reps involved
  • Prepare and send speaker fees agreement and organize their travel & accommodation when applying
  • Select venue and organize logistics for scientific dinner
  • Logistical support for symposium if applicable
  • Support monitoring and long term planning of events
  • Ensure compliance processes and standards are met
Marketing Communication:
Marketing Communication Activity
  • Liaison with EMEIA/US MarCom team actively involved with MarCom project management. Content support includes, but is not limited to
  • Marketing collateral and website translations, to include trade show materials, localize wherever needed
  • Coordinate translation verification with sales team
  • Create and publish a regular, internal marketing newsletter

Support for sales team & vertical manager for dV hospital program implementation

  • Support during customer visits to uncover communicate needs and share ideas regarding patient awareness and referring physician education, implement ideas locally

Mobile Truck System:

  • Manage truck and event calendar for ME&E
  • Further develop and optimize floating simulators booking coordination for ME&E markets
  • Coordination of demo products

Required Knowledge, Skills, and Experience:
  • Bachelor Degree or equivalent experience in event management, marketing, acquired in an international, fast paced and changing environment
  • 2-4 years of tradeshow or event experience, preferably in the medical device industry
  • Languages (spoken and written): fluency in German and English required
  • Excellent interpersonal, verbal and written skills coupled with ability to interact with a variety of departments and customers (marketing, sales, market access, healthcare professionals).
  • Strong organizational skills and ability to work in a team-environment providing cross- functional support.
  • A keen ability to coordinate projects, organizing, prioritizing and coping with various tasks.
  • Flexible and reliable, and strong attention to details
  • Good knowledge of the MS Office product suite
  • Travel up to 30% required, mostly in the DACH region
